Quote Follow-Up Text Pack (Day 2, Day 6, Day 14 and a Polite Close-Out)

ROLE: You are a friendly, practical follow-up writer for a small local service business. You write texts the way a busy owner would if they had five calm minutes: short, specific to the job and easy to answer. You never pressure, guilt or fake urgency. INPUTS (fill in what you know; leave a blank empty rather than guess): - Business: {business} (e.g., J&B Precision Painting, a family-owned painting company in Cedar Park, TX) - Your first name or how you sign texts (e.g., "Sam at J&B"): {sign-off} - The job you quoted, in a sentence (e.g., exterior repaint, two-story, trim and fascia included): {job} - Quote amount and what's included: {quote} - Date you sent it: {date sent} - Earliest start date you can offer, and how long it holds (add your schedule): {start date} - Anything the customer worried about during the visit (e.g., HOA approval, color choice, weather, timing around guests): {their concerns} - What's true and worth mentioning (e.g., free on-site estimates, insured, workmanship warranty; only list what's real): {proof points} - How long the quote price holds (add your policy): {price hold} - How they'd like to be reached (text, email): {channel} PROCESS: 1. Day 2 Text: answer or ease the biggest worry in {their concerns}, or offer one quick helpful thing (like color samples or the HOA paperwork). Under 300 characters. End with an easy question. 2. Day 6 Text: one useful nudge tied to the job: the start date in {start date} or a fact from {proof points}. Under 300 characters. No discount unless I listed one. 3. Day 14 Text: make "no" easy. Offer three one-word replies (e.g., "Go," "Later," "Pass") so answering takes two seconds. Under 300 characters. 4. Close-Out Message: friendly last note that you're closing the file, the price hold date from {price hold}, and an open door for later. Under 300 characters. 5. Two Quick Replies: what to send back if they say "Later" (offer to hold the quote and set a real check-in date) and if they say "Pass" (thank them, ask one optional question about why). 6. Send Dates: list the actual send dates and weekdays, counting from {date sent}. If a send date falls on a weekend, move it to the next weekday and say so. OUTPUT FORMAT: Headings exactly: Send Dates, Day 2, Day 6, Day 14, Close-Out, If They Say Later, If They Say Pass. Show the character count after each text. QUALITY CHECKS (run before answering): - No "just checking in," "circling back," "touching base" or "limited time." - Every claim comes from {proof points}. If a claim isn't there, leave it out; don't invent warranties, awards or review counts. - Never promise a start date or price that isn't in my inputs. If {price hold} is empty, write "(add how long your price holds)". - Sign every text with {sign-off} and keep each under 300 characters. - Keep every date and weekday correct for this year.

Tip: fill in the {brackets}

Swap every highlighted bit for your real details before you paste. The more specific you are, the less generic the answer.

What it does

Paste in one quote you sent and it writes the follow-ups you keep meaning to send: a day 2 text that answers the question they're probably stuck on, a day 6 text with one useful nudge, a day 14 text that makes it easy to say no, and a friendly close-out that leaves the door open. Every text is short, specific to the job and free of "just checking in." It also gives you two quick replies for the most common answers you'll get back.

When to use it

Right after you send an estimate, while the job is still fresh in your head. It's the fast, one-quote version of Lost Quote Autopsy: no spreadsheet, no analysis, just the texts. Great for painters, fence and deck builders, landscapers, HVAC, cleaners, remodelers, photographers and caterers. November is a good time to start: winter and early-spring jobs are being decided right now. Pairs with Lost Quote Autopsy, Price Objection Reply and Book January Now.

Example inputs (the company's name, family-owned status, Cedar Park headquarters, services, free on-site estimates and 1-year workmanship warranty come from its own website, checked Nov 2, 2026; the job, amount, dates, start date, price hold, customer concern and sign-off below are made-up samples for this test, not the company's real quotes or policies): - Business: J&B Precision Painting, Cedar Park, TX - Sign-off (sample): "Sam at J&B" - Job (sample): exterior repaint, two-story home, trim and fascia included - Quote (sample): $6,800, prep, two coats, trim and fascia - Date sent (sample): Tuesday, Nov 3, 2026 - Start date (sample): week of Nov 30, held through Nov 20 - Their concerns (sample): HOA color approval - Proof points (from its site): free on-site estimates, fully insured, 1-year workmanship warranty - Price hold (sample): 30 days Example output (from a test run of the prompt above, trimmed): Send Dates Day 2: Thursday, Nov 5. Day 6: Monday, Nov 9. Day 14: Tuesday, Nov 17. Close-out: Thursday, Dec 3 (when the 30-day price hold ends). No weekend moves needed. Day 2 "Hi, it's Sam at J&B Precision Painting. Want me to send the color names and codes from your estimate so you can drop them right into the HOA form? Happy to help with the paperwork too." (184 characters) Day 6 "Sam at J&B here. We're holding the week of Nov 30 for your repaint through Nov 20. If HOA approval takes longer, no problem, we'll just pick the next open week. Any questions on the quote?" I'll close out your repaint quote for now. The price holds through Dec 3, and if spring makes more sense, just text me and we'll set it up. Thanks for having us out." (177 characters) If They Say Later "Totally fair. I'll hold your quote through Dec 3 and check in on Monday, Jan 11 to see if spring timing works. Sound good? Sam at J&B" (133 characters) If They Say Pass "Thanks for letting me know, really. If you don't mind me asking, was it timing, price or something else? No wrong answer. Sam at J&B" (132 characters)
